Exhibition Policy for UTAR Library

1. Exhibition Policy

The purpose of this policy is to provide guidance to UTAR community that may wish to use the exhibition space in UTAR library. The UTAR community includes faculties, centres, departments, student societies. The faculties may also collaborate with external parties to hold exhibitions in UTAR library.

 

Exhibits which support teaching, learning and research of UTAR are welcome. The Library accepts exhibits of educational, cultural or artistic nature that relate to curriculum, research or campus activities and achievements of faculties and students.

The Library reserves the right to approve or not to approve all requests for exhibits.

Exhibition Guidelines 

 

(a) The faculties/institute/centres, administrative departments and student societies can collaborate with library to jointly organise an exhibition.

(b)
An exhibitor is required to submit an Exhibit Request form to the Director of Library for consideration. Information provided by the exhibitor may include the exhibition title, a brief description of the exhibition, number of exhibits to be displayed, etc.

(c) The Library reserves the right to determine the display period and schedule of displays.
 
(d)
If required, an Exhibition Review Committee may be appointed by the Library Committee to review the suitability of the exhibits to be displayed and any issues related to an exhibition to be held in the Library.

Exhibits displayed should

·         Provide opportunities to strengthen ties between university, library and community

·         Relate to the mission of the university and/or library

·         Publicise research and achievements of faculty, staff, university and community

·         Make known resources and services of the university

·         Highlight the collection of the Library
 

(f)
Exhibitors will be held responsible for damage caused to the display space during setup and dismantling of the displays. Exhibits may not be affixed to the walls. If any damage occurs, repairs will be paid by the exhibitor.

(g)

Exhibitors are responsible for dismantling the displays and clean up at the agreed date and time. Exhibits not removed on time will be removed by library staff and returned to the exhibitors. The library will not be responsible for any damage occurred during dismantling.

(h)

While reasonable care will be taken to ensure safety of exhibits on display, the Library is not responsible for any exhibit that is lost, damaged, or stolen while on exhibit or display. The Library is not responsible for the reimbursement or replacement of lost, stolen or damaged materials.

(i)

The Library may not be able to provide supplies or equipment necessary for display items, except some basic items such as display panels, display tables and book display stands.

(j)

Exhibitors agree to let the Library photograph the displays to be used for any university purpose such as publications, video, etc.
